This policy describes our intended processing practices. Processing obligations depend on the laws and rules actually in force for the relevant activity and date.
Overview
What this policy covers.
ClassWaze Education Private Limited operates ClassWaze as a software, hosting, workflow and related digital services platform. This notice applies to information collected through the public website, franchise onboarding, customer and portal accounts, support requests, payment workflows, verification services and other ClassWaze services where this notice is presented.
Where a franchisee or tenant independently collects personal data from its students, parents, staff or other users, that organisation may have separate legal duties in relation to that processing. Platform hosting does not automatically transfer those responsibilities to ClassWaze.
Data we collect
Only information reasonably connected to the service.
How we use data
Service delivery, security and lawful operations.
- Provide, maintain and secure the ClassWaze platform and websites.
- Process onboarding, subscriptions, billing, support and service requests.
- Provide certificate, marksheet, ID-card and verification workflows where enabled.
- Authenticate accounts, enforce permissions, prevent fraud and investigate misuse.
- Communicate service notices, transactional messages and operational updates.
- Maintain records needed for accounting, disputes, audits, compliance and legitimate business operations.
- Improve reliability, performance and user experience using appropriately controlled operational information.
Franchisee & tenant data responsibilities
Platform access does not erase the centre's own obligations.
A franchisee or tenant remains responsible for the legality, accuracy and appropriateness of information it enters into the platform and for the notices, permissions and other obligations applicable to its own processing activities.
Where a centre decides who should receive a certificate, marksheet, ID card, admission document or other record, that issuance decision and the related representation remain the responsibility of the issuing organisation. ClassWaze provides software and workflow capabilities; it does not become the academic issuer merely because the platform stores, generates or verifies a record.
Processors & third parties
Service providers may process information only for the services they provide.
Depending on the feature used, information may be processed by hosting, cloud, email, messaging, payment, domain, security, analytics or AI/infrastructure providers. Such providers may have their own terms and privacy notices, and processing may be subject to contractual, technical or legal safeguards.
We may also disclose information where required by law, valid legal process, security response, fraud prevention or to protect the rights and safety of the platform, users or third parties.
Security
Reasonable technical and organisational safeguards.
Controls may include access management, authentication, role restrictions, CSRF protection, logging, monitoring, backups and other safeguards appropriate to the relevant system or workflow.
Retention & deletion
Records are not promised to remain indefinitely.
Information may be retained for service continuity, security, accounting, contractual administration, dispute handling, backup recovery, audit requirements and legal compliance. Retention periods may differ by record type and applicable law.
When information is no longer required for a legitimate purpose and no legal or operational retention requirement applies, it may be deleted, anonymised or otherwise disposed of through the applicable process.
Privacy requests & rights
Requests are handled according to applicable law.
Depending on the law applicable to the requester and processing activity, you may have rights or request mechanisms relating to access, correction, deletion, consent withdrawal, grievance or other data-protection matters.
Requests should contain enough information for us to identify the relevant account or record and respond securely. We may need to verify identity before acting on a request.
Children & minors
Additional care applies to student information.
ClassWaze may support educational workflows involving students who are minors. Centres, parents/guardians and other responsible organisations must use the platform in accordance with applicable requirements governing minors and personal data.
Cookies, analytics & technical data
Operational technologies support functionality and security.
ClassWaze may use cookies or similar technologies for session management, preferences, analytics, security and site functionality. Browser and device information may also be processed for diagnostics, fraud prevention and service reliability.
